Create and edit tasks

All tasks in a workspace are organised into task lists and can be managed in the "Tasks" section.

Note: By default, tasks located in the "Tasks" section are visible to all workspace users, regardless of their access levels and rights. To restrict access to tasks, consider creating private task lists.


Creating tasks

Click Tasks in Home menu, this will open the "Tasks" section.

Click + Add Task at the bottom of the section, this will open the "New Task" sidebar.

Tip: You can also use the quick + Task buttons located inside each of your task lists and directly on the task lists' bars (then the task list of the new task is automatically predefined):

In the sidebar, you can set the following properties for the new task:

  • Name: Click the placeholder at the top and enter a name for the task
  • Status (optional): Click the dropdown to select a status for the task; available statuses are determined by the status workflow set in the task list. You can change to another status workflow in the task list and customize statuses in your Customisation settings.
  • Assignees (optional): Click + to select assignees for the task (Note that when creating tasks in private lists, only the users and groups with whom you have shared the list are available)
  • Description (optional): Click into the field and provide a description for the task
  • Due date: Choose the due date for the task by clicking the "Calendar" icon
  • List: You can move this task to another existing or create a new list, click Add a new list to create a new one (read "Create and edit task lists"):

  • Reminder (optional): Set a task reminder from the dropdown (the due date must already be set)
  • Note: The reminder will be sent to your email inbox; to receive task reminders to your email, make sure that your email notifications are turned on (see Email notifications settings).
  • Priority (optional): Set the priority for the task
  • Tags (optional): Categorise the task by adding tags
  • Linked to (optional): Link the new task to any item located in the "Workplan", "Resources", and "Participants" sections
Tip:
  • Use the search field to quickly find the necessary item:

  • You can also add a new task directly in the item's sidebar, go to the "Tasks" tab and click Add Task at the bottom of the sidebar (then the linked item of this new task is automatically predefined):

Click Save Task at the bottom of the sidebar, the task is created at the respective task list.  

Editing tasks

Click Tasks in Home menu, this will open the "Tasks" section.

Click on the task that you would like to edit or click on its "Edit" icon, this will open a sidebar for the task.

In the sidebar, you can update the following properties for the task:

  • Name: Click the placeholder at the top and update the task name
  • Status (optional): Click the dropdown to select a new status for the task; available statuses are determined by the status workflow set in the task list. You can change to another status workflow in the task list and customize statuses in your Customisation settings.
  • Assignees (optional): Click + to update assignees for the task (Note that when creating tasks in private lists, only the users and groups with whom you have shared the list are available)
  • Description (optional): Click into the field and edit the task description
  • Due date: Update the due date for the task by clicking the "Calendar" icon

Click Save Task at the bottom of the sidebar.
