Working with document versions

Note: To upload or edit documents, you must have at least Edit access rights to the "Documents" section and respective folder (see "Roles, access levels, and access rights").

Version management can be activated for individual document. Every new version uploaded to a document will then generate a new version of the document, indicated by an increase in the document’s version number. Older versions of the document are then kept on file. 

By default version management is turned "off" for new documents, and versions older than 30 days are automatically removed.

See and download document versions

Click Documents in Home menu, this will open the "Documents" section.

Make sure you are in the right folder – double-click a folder to open it.

Click the document to open a sidebar (or hover over it, click the action menu and choose Properties).

Select the "Versions" tab, where all versions of the documents are listed:

  • To download a version, click the green "Download" icon right from the version.
  • To add a description to a document version, hover over the "No description" placeholder and add the description.
  • To upload a new version, click Upload New Version at the bottom of the sidebar or drag'n'drop the document into the sidebar.
Note: Any new version is the latest version of the document presented in the "Documents" section.

Activate/deactivate version management

Toggle the "Version" switch to activate/deactivate version management. If version management is turned "off", versions older than 30 days are automatically removed.
